Event Terms and Conditions and Privacy and Consent Notice

Registrations to the Australia-India Sport Innovation Summit 2024 ("the Event") are provided by the Centre for Australia-India Relations (22 159 869 299) ("Organiser", "We" "Us" or "Our").

These Event Terms and Conditions apply to the person registering for the Event, the invitee to the Event and any subsequent ticketholder (“You” “Your” “I” or “Invitee”). 

Your ticket, registration and guest experience will be managed by the Event Delivery Team, Level Up Republic, on behalf of the Organiser (“the Event Team”). 

By visiting, using, or registering for any tickets via this platform You agree to be bound by these Terms and Conditions and Our Privacy Policy, as amended from time to timeThe terms and conditions that apply to any particular transaction (including without limitation the registration, confirmation, and attendance), will be the published terms and conditions at the time the transaction was finalised.

By attending the Event, You also agree to the conditions of the venue where the Event will be held (Venue) The Venue’s conditions are available from Us on request and are also accessible through the following link Venue’s conditions of entry. 

Without limiting other remedies, We may terminate Your registration, cancel Your ticket, deny Your entry into the Event or have You removed from the Event if You act inconsistently with these Event Terms and Conditions or the Venue’s conditions of entry.

Tickets

  • All tickets are provided at no-cost and an invite to register for the Australia-India Sport Innovation Summit 2024 is valid only to the named invitee for the Event. The Organiser is not responsible or liable for any cost or expense You incur for attending the Event.

  • Tickets may not be sold or transferred to another individual that is not the named invitee on the invitation, unless expressly advised by the Organiser in writing, or expressly authorised by the Organiser to be used for advertising, promoting or other commercial purposes.

  • Entry to the event may be refused if, in the Organiser’s opinion, the authenticity or validity of a ticket is uncertain, including because the ticket has been amended, copied or defaced in any way. Tickets which have been resold or transferred without the Organiser’s express written consent may lead to refused entry.

  • The Organiser reserves the right not to provide tickets to any person, agent or company.

Registering for the Event 

  • Where the Organiser has specified in the invite to the Event that the Invitee is permitted to bring guests along, the invitee may only register tickets for and bring a quantity of guests that equate to the number that have been allocated by the Organiser to that Invitee. Any additional guests will not be granted entry.

  • Invitees are allowed to make one registration per person for the maximum amount of tickets outlined on the Event invitation received by that Invitee.

  • When registering to attend the Event, You must use the email address that Your invitation was sent to so that You can be verified as an invited guest. Use of an alternative email address, may result in Your registration for the Event not being processed. 

  • Spaces at the Event are limited and subject to availability. Allocation of spaces at the Event are completed by the Organiser.

  • The Organiser and Event Team do not accept responsibility arising as a result of incorrect information provided  at the time of registering and ordering Tickets.

  • If You are registering on behalf of a guest or invitee, it is Your responsibility to notify that guest or invitee of these Event Terms and Conditions of registering, for which You will be agreeing to on the behalf of the guest or invitee. Your responsibility also includes providing full details of the guest’s or invitee’s registration details as confirmed.

Confirmation of Your booking

  • Once Your RSVP and registration to attend the Event has been received by email, we will confirm that Your booking request has been accepted by sending a confirmation e-mail to the e-mail address you provide.

  • Tickets will be delivered to you by email after you have completed the registration process. Tickets will not be posted or couriered to you.

  • Tickets for the Event are for the specified Event and Date on Your ticket or confirmation email only.

 Cancellation policy

  • If you wish to cancel Your attendance at the Event, please let the Event Team know as soon as possible and in any case, with at least 48 hours’ notice of Your cancellation so that We can allocate Your place to another guest. If You are late to the Event, you may be refused entry so that We can maintain the experience of the Event to Our other guests.

  • The Organiser reserves the right to reschedule, relocate or cancel the Event for any reason, without penalty.

  • In the event that the Event is rescheduled Your ticket and registration will remain valid pending Your re-confirmation that You will be attending at the new location and date. 

  • In the event that the Event is cancelled and not rescheduled, Your ticket will not be valid for any other Events held by the Organiser or its partners. 

  • The Organiser will notify guests of any reschedule, relocation or cancellation as soon as reasonably possible by email. 

Disclaimer, Liability and Indemnity

  • To the extent permitted by law (including the Australian Consumer Law), the Organiser and its partners are not liable to You for any loss, damage, injury, delays, additional expenses or inconvenience arising directly or indirectly from Your attendance or non-attendance at the Event or Venue, including without limitation any travel and accommodation expenses as a result of the reschedule, relocation or cancellation of the Event. You may wish to consider taking out an appropriate insurance policy to cover for your attendance at the Event and any losses in the event of reschedule, relocation or cancellation.

  • Neither the Organiser nor Event Team or the Venue will be liable for any costs, losses or personal injury suffered or incurred by You, Your invitees or guests arising directly or indirectly from Your attendance at the Event 

  • You agree to indemnify Us from and against all loss or damage caused or contributed to by: (i) the negligence or wrongful act of You or Your guests or invitees; and (b) a breach of these Event Terms and Conditions by You, except to the extent that the loss or damage is caused or contributed to by the Us.

  • The Organiser reserves the right to add, withdraw, reschedule, or substitute speakers and/or vary programs, venues, seating arrangements and audience capacity and these Event Terms and Conditions without penalty. 

  • Where liability cannot be excluded or modified by law, including pursuant to the Australian Consumer Law, the liability of the Organiser is limited to the minimum permitted by law.

How to Cancel Your Attendance at the Event

Attending the Event & Event Behaviour

  • You are responsible for Yourself and Your invitees or guests at the Event.

  • You may be denied entry into, or removed from, the Event if We or the Event Team have reasonable grounds to do so, including without limitation if You: (i) breach these Event Terms and Conditions; (ii) breach the Venue’s conditions of entry; or (iii) are offensive abusive towards staff or guests; (iv) are adversely affecting the enjoyment of the Event by others; (v) are intoxicated or under the influence of illicit drugs; or (vi) are inappropriately dressed. 

  • By attending the Event and/or the Venue, you accept the risk of damage and loss (including property damage, personal injury, economic and consequential loss) however arising at the Venue. This includes damage or loss caused by the acts or omissions of other ticketholders, visitors, guests, and the employees and agents of the Organiser, its partners and the Venue. 

  • The Organiser cannot control all content published or disseminated at the Event. You may find other delegates’ or participants’ communications, graphics, audio files or other information inappropriate, offensive, harmful, inaccurate, dishonest or misleading and/or deceptive, however You alone are solely responsible for Your interaction with other delegates and agree to act responsibly and exercise caution, common sense and safety while in attendance at the Event. 

Privacy and consent notice 

What personal information will be collected, used or disclosed.

Event registration 

When We process Your order, We and the Event Team collect Your personal information. This will include Your name, email address, dietary requirements, accessibility requirements, any other special requirements or concerns.

You will not be able to register for, or participate in, the Event if You do not provide this personal information. 

Your personal information will be used and disclosed by Us and the Event Team to facilitate Your registration and attendance at the Event. This will include sharing Your personal information with the Venue and any other contractors engaged by Us or the Event Team to facilitate the Event. 

Promotional activities 

With Your consent, We or the Event Team, or any contractors engaged by Us or the Event Team (such as production companies or photographers) will also collect, use and disclose Your personal information (such as Your name and contact details, location, image, quote, opinion or videos of You) in promotional activities and educational campaigns associated with the Event or the Commonwealth’s other programs. 

Usually We do this by publishing information in:

  • ads or notices in newspapers, magazines, TV, radio or and podcasts

  • annual reports, posters, brochures, booklets and other displays

  • Our intranet and internet sites, official accounts on social media platform such as LinkedIn, YouTube, X (formerly Twitter), Instagram and Facebook.

If You do not wish Your photograph to be taken at an Event please notify the photographer during the Event. 

Participation in these activities is voluntary and will not impact Your participation in the Event. You can withdraw Your consent at any point, and Your personal information will not be used or disclosed for any further promotional activities. However, We will not be able to remove any personal information that has already been published.

Sharing personal information outside of Australia for promotional activities 

Your personal information (such as written content about You, images and/or videos of You) may be disclosed to overseas recipients as part of promotional materials, including through the internet and official social media platforms. 

If You provide Your consent, You agree that Australian Privacy Principle 8.1 in Schedule 1 to the Privacy Act 1988 (Cth) (Privacy Act) will not apply, and We or the Event Team and/or any contractors engaged by Us or the Event Team will not be responsible under the Privacy Act for how that party overseas handles Your personal information.

  • how You can access and seek correction of personal information each entity holds about You; and

  • how to make a complaint if You have a concern or believe an entity may have breached an Australian Privacy Principle and how the entity will deal with Your complaint.

Consent 

By registering for the event I: 

  • Acknowledge that I have read and understand the Event Terms and Conditions and Privacy and Consent Notice and consent to my personal information being handled as described above.

  • Consent and agree that We or the Event Team and/or their contractors, may take photographs, video or audio recording of me, or collect quotes or opinions from me (personal information). 

  • Consent and agree that We or the Event Team, and/or their contractors, may share, use or disclose any of my personal information that has been collected in any and all media including on the internet, in print, electronic or video media, for any educational or promotional purposes in Australia and overseas. 

  • Acknowledge and agree that any copyright in material used for these purposes vests in the Commonwealth Government. 

  • Acknowledge that We, the Event Team and/or their contractors will not be responsible for how my personal information is used by any person in other countries.

  • Confirm that I am authorised to release to Us, the Event Team and/or their contractors, all rights to exhibit the photographs, videos or audio recording, quote or opinion in print and electronic form publicly or privately. I agree that any use of the photographs, video or audio recording, quotes or opinions may occur without compensation or additional consideration of me.
